The Registrar Office has an opening for an Office Coordinator.

SUMMARY Performs a variety of front office clerical duties in support of the Registrar's Office. Serves as the initial contact for all visitors to the department.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Answers and directs all incoming phone calls, assists walk-in inquiries, and takes messages; sets appointments and answers routine questions.

Processes all incoming and outgoing mail and handles routine correspondence.

Maintains front office area; ensures accuracy and availability of all student forms.

Maintains inventory of office supplies and all other essential forms and replaces before supply is depleted.

Verifies and updates all student changes of address/names while following institutional rules as outlined in the Data Standards of the College.

Assists in data entry, overflow projects and other related duties.

Maintains confidentiality of all information

Performs other duties as assigned.

QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. A poised and professional image is required; strong interpersonal skills with the ability to interact effectively with all visitors and students while projecting a positive image for the area and college. Service oriented with ability to make all customers feel welcome. One year clerical experience desired; ability to type 35 wpm accurately; PC literate with word processing, Word, and database experience desired. Interpersonal skills, which demonstrate a service oriented attitude. 10 key by touch helpful; must maintain confidentiality of records; strong organizational skills required, accurate in data entry, and must be a team player.

EDUCATION and/or EXPERIENCE
High School Diploma or GED required; some college preferred.

LANGUAGE SKILLS
Ability to communicate effectively orally and in writing; ability to read and comprehend simple instructions, short correspondence, and memos; ability to effectively and professionally communicate in one-on-one and small group situations to students, alumni, clients and other employees of the organization.

MATHEMATICAL SKILLS
Ability to perform basic math essentials.

REASONING ABILITY
Ability to define routine problems, collect data, establish facts, and draw valid conclusions to solve routine problems and/or deal with a variety of variables in situations, especially when department head may be out of office or unavailable. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee is regularly required to stand and walk. Occasional light to moderate lifting from floor level, at waist, and above shoulders required. Infrequent bending and stooping necessary. Specific vision abilities required by this job include close vision in order to accurately input data and proofread; distance vision in order to recognize and assist visitors to the department.

Fast paced, multi-tasking, non-smoking work environment. Must be able to work the general business schedule of the College (9:00 a.m. to 5:30 p.m.) plus occasional evenings and weekends as necessary.
