Job Title:   Alumni Program Coordinator
Department:   Development and Alumni Relations
FLSA Status:   Non-Exempt

SUMMARY
Responsible for logistics and planning for alumni events, including coordination of purchasing and accounting procedures. Provides administrative support for the Office of Development and Alumni Relations as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Responsible for handling routine requests for assistance from alumni.

Responsible for preparing lists for alumni mailings.

Maintains and updates records in the Alumni/Development database and researches to find lost alumni. Assists with data coding projects as necessary.

Oversees data transfer/updates from on-line community to Raisers Edge and development of content for use in alumni community.

Responsible for administrative duties related to event coordination including handling of contracts, purchase orders, invoices, etc. per college and department policies. Maintains event files and expenses in database, as well as in hard files, as necessary.

Serves as representative of the college and attends all Houston area alumni events and assists with registration.

Coordinates and attends out of town events as needed.

Attends all Alumni Association Board meetings and prepares minutes of the meetings.

Attends all Young Alumni Council meetings.

Assists with the coordination of the Department calendar and communicates relevant event information to the Special Event Coordinator (Dean's Office).

Assists with drafting alumni communications as assigned, including materials for online alumni community, Enews and alumni magazine.

Other duties as assigned.

Service oriented with ability to make all visitors feel welcome. Must have a collaborative approach to working with others. Must have excellent writing and editing skills; proficient in windows-based software, including word processing, spreadsheet skills, and ability to learn new software programs as needed. Ability to work in a fast paced environment and perform multi-tasking duties.

Demonstrate proficiency with word processing and presentation software, including Microsoft Office and Microsoft Excel. Familiar with, or ability to learn, Raiser’s Edge software, heavy data entry experience; ability to learn new software programs as needed. Strong organizational skills, ability to manage several assignments simultaneously, set priorities and anticipate additional workload. Type minimum of 50 wpm accurately. Capacity to maintain absolute discretion and confidentiality demanded. Assists with the coordination on all initiatives on departmental and organizational levels.

EDUCATION and/or EXPERIENCE
College degree required.

LANGUAGE SKILL
Ability to effectively and professionally communicate in one-on-one and small group situations to students, alumni, law firms, clients and other employees of the organization. Ability to read and comprehend simple instructions, short correspondence and memos. Ability to write correspondence.

MATHEMATICAL SKILLS
Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio and percent and to draw and interpret bar graphs.

REASONING ABILITY
Ability to define routine problems, collect data, establish facts and draw valid conclusions to solve routine problems and/or deal with a variety of variables in situations, especially when department head may be out of office or unavailable. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
